Summary:
The HR Coordinator provides comprehensive administrative support to the Human Resources department and assists in various HR functions.
Reporting to the Human Resources Manager, this position is responsible for assisting with onboarding processes, maintaining accurate timesheet corrections, assisting with payroll processes, and offering general assistance to employees regarding HR matters.
The HR Coordinator plays a vital role in ensuring the smooth operation of the HR department.
Responsibilities:
Provide full administrative support to the Human Resources department, including scheduling meetings and managing phone calls on behalf of the Director of Administration and the HR Manager.
Perform data entry for HR functions and ensure accurate and timely entry of new hire information into the payroll system.
Organize, maintain, and update employee information in the HRIS (Human Resource Information System) as needed.
Generate and maintain employee data and prepare regular reports for HR analysis and decision-making.
Prepare memos, letters, reports, and general correspondence in support of HR activities.
Assist in new-employee orientations and onboarding programs to facilitate a smooth transition for new hires.
Coordinate and track Family and Medical Leave benefits, leaves of absence, and reasonable accommodations.
Support the hiring process by posting job openings, scheduling applicants, making travel arrangements (if necessary), and managing search committee schedules.
Activate login/email accounts for new hires.
Process and audit invoices for the HR department.
Maintain the human resource records retention schedule.
Generate reports as requested, such as bi-weekly recruiting reports and department metrics.
Assist HR staff with other duties, including benefits administration and professional development activities.
Perform other duties as assigned.
Required Education and
Experience:
Experience in Human Resources or related field preferred.
Strong understanding of HR functions and best practices.
Excellent organizational and time management skills.
Strong decision-making and problem-solving abilities.
Proficient in Microsoft Office software, including Word, Excel, PowerPoint, and Outlook.
Ability to generate reports from HRIS and other spreadsheets as required.
Excellent written and oral communication skills.
Ability to multitask, work independently, and pay attention to detail.
Strong critical thinking and data analysis skills.
Adaptability to changing priorities.
Work Environment:
This job operates in a professional office environment with prolonged periods of sitting at a desk and working on a computer.
The role routinely uses office equipment such as computers, copiers, and phones.
